Instant guide Arquiva through process from search to moving in.
Instant began working with Arqiva’s Head of Property to find their perfect office when a commercial property agent put us in touch. Arqiva had six locations across the UK and were looking for a project office for up to one year to launch a new product.
Instant listened carefully to what Arqiva wanted from their new office and created a checklist that included corporate branding, and open plan desks on a dedicated floor. We used our expert market knowledge to present the perfect option in the West End of London. It was a self contained floor of 5,000 sq.ft with meeting rooms. Instant managed to negotiate with the building to allow a redecoration of the reception area to fit Arqiva’s branding.

Warner Music find temporary space whilst they refurbish headquarters.
Global music and media giant Warner Music needed help to find office space for 40 employees whilst they refurbished a freehold building. Instant had a detailed conversation with them to confirm their needs for the space, which included contemporary, open plan working environment and a sound proof meeting room to listen to music.
Instant created a report for Warner with the serviced office options that matched their specific needs across London, to give their Head of Property options in different locations to compare. After shortlisting two buildings in Soho, Instant created a detailed report for total costs of occupying the space, comparing flexible serviced offices and conventional long term leases.

The Central Office of Information is the government department working with other departments and the public sector to produce information campaigns for the British public.
Six COI locations across the UK needed to be relocated at roughly the same time. The most important requirements were the need for flexibility and proximity to budget. Also of importance was the ability to brand the space, and desire to maintain control.
Following an initial enquiry through our website, our Corporate Team began our relationship with COI. We learned the requirements and met face to face to discuss the moves in more detail.

Office move to reduce rates achived in six weeks with Instant.
SGS employs 56,000 people worldwide and contacted Instant when they found themselves with six weeks to find a new office to reduce their overheads.
Instant used our immediate access to market information to create a report with new office options in their current location and those nearby with lower rent profiles. This also helped the MD of SGS to demonstrate that they were carrying our due diligence and fully benchmarking the office market. We were able to find a serviced office in the heart of Ealing, where they already were, that was offering a promotional rent rate. This particular serviced office offered great rates on the telecoms packages and we knew that SGS has a very high usage of international calls. This meant that with some creative thinking, Instant achieved a cost saving even though we were improving SGS UK’s office space and location. Instant also contacted Ealing Council to find available, local car parking spaces for SGS staff. We arranged for SGS to view the offices straight away and collected the initial proposal from the building. We assisted in ensuring the overall price remained under budget and 3 weeks later SGS signed the agreement. After working with Instant, they could move into a better office, with a lower cost in the area they wanted to be.
EDF relocate to a five minute walk during HQ refurbishment.
EDF are a well known energy brand, delivering over 20% of the UK’s electricity. EDF needed a short term office for 100 employees as they conducted a major refurbishment of their headquarters. With six weeks to go before the works started, Instant began helping them find their new office.
Instant had to quickly indentify exactly which serviced offices could handle a large space requirement at short notice. Within three hours of first talking to EDF, we found three options that could match their needs and arranged viewings within two days. After the viewings EDF narrowed the list down to a preferred office and Instant worked hard to ensure the right space was kept available and pricing matched their budget. By working quickly to get office comparisons, we ensured that they had the best price in the market and a new temporary office, just a five minute walk from the old one!
Instant negotiate to achieve reduced rental costs for client.
Admob approached Instant to source new office space as their existing tenancy was due to expire. A tight search area was agreed in Noho in London and after building a schedule of nine serviced office buildings, Instant viewed four of these with the European CEO of Admob. The Media Village was the preferred option, but the initial quotes were too expensive.
Instant created a new comprehensive report for Admob with both serviced and conventional office options, comparing everything including the main issue of rent costs. Admob wanted to have flexible space to grow into, but the higher rent of the preferred option that offered this was too expensive.
Initially the office operators did not want to reduce the rent as the building was nearly full. Instant negotiated on behalf of Admob and was able to produce a rent reduction using our excellent relationships with the operators and construct a stepped rent agreement. This meant that Admob could afford the rent in their annual budgets, and the operator had a longer term agreement with no void in their building.

Sky needed short term offices in multiple locations around the UK. Image is very important so the offices had to be top quality, but achievable within a strict budget.

Transport for London business finds solution for 300 staff with Instant Managed Offices
Metronet, the Transport for London (TfL) business, responsible for upgrading, replacing and maintaining two-thirds of the London Underground, came to Instant in September 2007 with a challenging requirement. Metronet needed to relocate 300 IT staff during the refurbishment of existing offices, based within the TfL property portfolio in Victoria. The initial requirement was for a 12 month period but the ability to extend the contract on a month-by-month basis was also demanded, to allow for delays in the completion of the refurbishment.
In addition, the temporary solution had to have good transport links and a robust IT infrastructure, as well as offering excellent value for money. Building strong relations with the on-site facilities team was also high on the client’s agenda, to enable the speedy resolution of any issues, such as layout changes requirements, that might crop up.
Within 10 days of the initial brief, Instant had drawn up a shortlist of suitable business centres located in the City Fringe, and arranged tours for the client. The client chose offices at 150 Minories, which satisfied all Metronet’s requirements. This location also offered the benefits of self-contained and neighbouring floors, which provides advantage of branding entire floors and efficient internal communication. Throughout the whole process, the Instant Managed Offices team gave expert guidance and independent advice.
