Companies are seeking efficiencies by sourcing what they need only when needed so they aren’t typing up capital. Why shouldn’t this practice translate into property? We work with clients to help them build flexibility into their property portfolios.”&lt;br&gt;&lt;/font&gt;&lt;/div&gt;&lt;font face="Arial" size="2" color="#808080"&gt;&lt;br&gt;Instant’s managed offices division provides a managed office for an all-in-one cost. Quarterly rent covers everything including acquisition, property, fit-out and FM.&lt;br&gt;&lt;br&gt;Foreman says this means occupiers have no upfront capital expenditure. Instead, the cost of activities such as fit-out are spread over fixed quarterly payments for the terms of the contract, making this client’s financial forecasting more accurate.&lt;br&gt;&lt;br&gt;He says clients increasingly see Instant’s managed offices as an alternative to traditional self delivery when procuring space, particularly when internal resources are scarce. Outsourcing their property activities allows them considerably more time to focus on core business. &lt;br&gt;&lt;br&gt;&lt;font&gt;“Companies often say they self-deliver, but do they really? raises some interesting points. It concludes that forecasting, across industries and businesses of all sizes, continues to be seen as an unnecessarily time consuming, irritating and inaccurate process, with 83% of respondents saying that budgeting at their company takes two months or longer to complete. But why is this the case and how can FDs improve the procedure at their organisations?&amp;nbsp;&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;Perhaps the biggest challenge to forecasting is ensuring that departmental heads take full ownership and responsibility for their budgets and are as accurate as possible when preparing them. It is unlikely that your department heads are trained in producing budgets and in the wider finance requirements that this brings, their budgets are often incomplete and, therefore, inaccurate. Many are too bullish or too prudent, or only think of the more obvious direct costs relevant to their own departments, rather than overheads that are required to run the business as a whole.&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;For example, if they have budgeted for additional headcount within their teams, these salary costs will often be included in their forecasts, but other broader costs such as computers, stationery or even the consideration of office space to accommodate the new employees is very often excluded.&amp;nbsp;&lt;/div&gt;&lt;div&gt;&amp;nbsp;&lt;/div&gt;&lt;div&gt;Traditionally it is seen as the role of Finance to pick up these additional budget areas, and no responsibility for them is taken by the business. FDs must invest in explaining and training for the department heads, to ensure that they understand that budgeting is not just down to the finance team alone; it is their responsibility to drive and own their department budgets, and in turn this gives them full visibility to the ‘true costs’ of their business area. For some FDs, this will require changing the culture within their organisation – so managers understand the value of budgeting – clarifying that the FD’s job is to compile and communicate an overall business forecast to the board or shareholders, and not the delivery of the budget across the business.&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;As department heads are usually the people with the ability to provide the FDs with the most accurate information, regular, preferably monthly, review meetings are essential, so if there are inaccuracies, department heads understand where and why they went wrong. This will help educate them and means they are more likely to compile accurate forecasts in the future, saving time for everybody involved. It is also vital that any changes to the wider business plan are incorporated into any re-forecasts that happen during the financial year. If these changes are not considered during this process there will automatically be a deviation from the set budgets. In a tough economic climate, more suppliers are now requesting accurate forecasts rather than statutory accounts.&amp;nbsp;&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;Although monthly rolling forecasts do take time and resources which can be a challenge for smaller finance teams to compile, I would recommend them to any FD as this approach is much more efficient in the long term.&amp;nbsp;&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;img src="/Gallery/Lee.JPG" alt="Lee.JPG" width="700" height="427" border="0"&gt;&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;Interestingly, the PwC report notes that monthly rolling forecasts are no longer an emerging trend, but rather, are becoming an established practice. Another reason for inaccurate forecasts is that businesses do not have enough of a handle on their variable costs. Costs for equipment and property, such as maintenance, can be highly unpredictable and the key is to fix as many of these as possible. Most businesses have at least some non-core activities which can be outsourced for a fixed price, at a similar cost to the company carrying it out themselves. When looking at outsourcing elements of your business, it is vital that you look at the core cost savings plus the time savings of people within your business in the management and delivery of these services, as both are key to understanding the true business benefit of outsourcing.&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;Managed Offices and serviced offices are a great way to fix all property related costs. Rates, utilities, cleaning and maintenance are consolidated into fixed monthly, or quarterly payments, which is beneficial as these tend to be the hardest costs to predict. For the majority of businesses, rent and property management is the second biggest cost after salaries, so being able to fix these costs in the long term can be highly beneficial. Also the time saving of managing all of these costs and the paper work that goes with them could be as significant as a whole head count saving in your Finance team.&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;This is particularly true for companies requiring cash buffers, preventing them from dipping into their overdrafts. For example, the cost of fitting out a Managed Office (an alternative to serviced offices and leased traditional space, with a bespoke fit-out and location) is taken on by the Managed Office provider and spread over the term of the agreement. This limits upfront capital expenditure, allowing more cash to stay on the books, and gives leeway for forecasting inaccuracies.&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;The macro environment is another challenge to accurate financial planning. Different clients will be affected by different conditions and many firms will wait to hear government policies and regulations relevant to them before making significant expenditure. It is worth remembering that businesses will often wait until the government’s annual budget is announced before making decisions too. Therefore, keeping up with regulations that affect your clients, and the macro climate in general, can be useful when forecasting.&amp;nbsp;&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;One option of building the impact of these into your budget is looking at ‘sensitivities’ within the budget as a whole, ie applying a 2% revenue drop on the overall turnover to see what the worst case scenario may be, or applying a slightly higher foreign exchange rate to all currency transactions and looking at the impact.&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;In addition, it is critical that FDs keep up to date with their company’s business plan and any shifts in strategy. This is an area that good management teams will constantly review according to business performance and the macro environment. Business plans should always be flexible so a business can quickly react to different trading pressures. However, keeping a budget and forecast as flexible as possible is much harder, as it needs to be accurately aligned with changes to the business plan. Again, regular meetings with management and frequent forecasting are imperative in ensuring this can be achieved. It is also essential to understand the growth requirements of shareholders and investors.&amp;nbsp;&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;There is a fine balance between trying to please them with a budget, and setting a realistic and achievable budget. Any expected changes should be communicated as early as possible, with relevant detail. If growth or revenue is going to be lower than expected, you must explain why, and if necessary, suggest a solution such as cost cutting measures to address the problem. Reporting against the monthly budget, but also extending this to show the impact against the total financial year budget is key to fully understanding variance you are reporting, and putting it into context.&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;&lt;img src="/Gallery/Charlie2.JPG" alt="Charlie2.JPG" width="700" height="465" border="0"&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;When producing forecasts, FDs must also consider different stakeholders such as shareholders, management and suppliers. How should Finance engage with these different groups? What areas of the business are important to them? You must define the level of detail to which you report to each group, with different stakeholders having different priorities. You should be prepared to adapt or expand on areas for particular parties where necessary, without confusing them.&amp;nbsp;&lt;/div&gt;&lt;div&gt;&lt;br&gt;&lt;/div&gt;&lt;div&gt;Clearly financial forecasting is not easy, but there are measures FDs can take to make it more accurate and efficient. A significant part of an FD’s role is to communicate with senior management, and to ensure they give real, focused input and take responsibility for their entire P/L. Instant, which provides flexible office solutions for companies all over the world, has attracted £16m capital from private equity house MML, now a minority shareholder, to support the company in achieving its ambitious growth plans. What occupiers are looking for is a variety of workplace solutions – in other words, total flexibility – and that is what is increasingly on offer.&lt;br&gt;&amp;nbsp;&lt;br&gt;At last week's roundtable organised by Instant, the flexible office specialists, and supported by CoreNet Global UK, the emphasis of the debate was very much driven by the mantra of organisations working "anywhere, in any way".&lt;br&gt;It brought together corporate occupiers, property company Derwent Valley, and consultants CBRE and Cushman &amp;amp; Wakefield.&lt;br&gt;&lt;img src="/Gallery/Roundtable1.jpg" alt="Roundtable1.jpg" align="left" border="0" height="266" width="400"&gt;&lt;br&gt;CoreNet board member and chairman of the roundtable, Robin Harris, dared to suggest a working environment where worker democracy is very much at play. "What do staff want?” he asked. &lt;br&gt;Whoever heard of employees having a say in the shape of their workplace? But that really is the latest zeitgeist; there is a new generation entering the workplace with fresh ideas and aspirations. &lt;br&gt;More to the point, it is a generation that has never known life without the internet.&amp;nbsp; And with digital technology developing at a rate of knots, it’s about what will be possible in the future; today it’s smart phones and tablets, tomorrow it will be the Cloud and next year, who knows?&lt;br&gt;&lt;br&gt;There was a strange irony that the roundtable was held on the 17th floor of newly developed Heron Tower in the City of London, looking down on millions of square feet of offices that make up one of the globe’s leading financial centres. Will all that space be needed in 10, 20 or 50 years? Surely, by then we’ll be able to choose where we want to work – at home, in a coffee shop, or at the beach – won’t we?&lt;br&gt;&lt;br&gt;But it isn’t as easy as that. Human beings are social animals and there is a need for collaboration to ensure ideas happen. For ideas to go from a brainwave in the shower to the drawing board and, finally, into production, it’s necessary for people to come together to make it happen. Increasingly, being in the office is less about the regimented “9 to 5” and more about coming together to collaborate. &lt;br&gt;&lt;br&gt;&lt;img src="/Gallery/Roundtable4.jpg" alt="Roundtable4.jpg" border="0" height="268" width="400"&gt;The current solution is to create flexible workplaces which take into account the short, medium and long term needs of the organisation. It was reassuring to note that most of the corporate organisations around the table – Morgan Stanley, PWC, Dell, Mysis, LCH Clearnet and Serco – already acknowledge that while the core of their office portfolio may be in fixed term arrangements, a proportion is held on flexible terms. That normally means taking serviced office space, but these are exciting times and, as such, there was talk of space sharing, co-working and a variety of other options.&lt;br&gt;&lt;br&gt;Interestingly, Instant is leading the way with another alternative which relieves occupiers of up-front capital expenditure.
